VANZ Adventures Hire is run by Vanz Adventures Ltd, The Paddocks, Batemans Lane, Wythall, B47 6NG. We are the data controller for the personal information described here. Questions, requests or complaints: [email protected] or 07459 381724.
What we collect and why
- Booking and contact details (name, email, phone): to create and manage your booking, take payment and send booking emails. Basis: performing our contract with you.
- Driver details (date of birth, home address, names and dates of birth of extra drivers): our insurer only covers drivers who meet its conditions, so we need these to confirm you can drive the van. Basis: contract and our legitimate interest in insuring the hire properly.
- Driving licence photos, proofs of address and a DVLA check code: the verification our insurer requires before handover. You upload these through a secure, booking-scoped link. We never ask for documents by email and never accept them that way. Basis: contract.
- Payments: cards are processed by Stripe. Card numbers never reach us or our systems; we keep the payment records (amounts, dates, references) that bookkeeping and tax law require. The security deposit is a bank transfer from your own account, so we see the normal details a bank transfer shows. Basis: contract and legal obligation.
- Your signature on the hire agreement, with the time, IP address and device it was signed from: so both of us can prove what was agreed. Basis: contract.
- Photos and videos of the van at collection and return: the condition record that protects your deposit and us. They are of the van, not of you. Basis: legitimate interest.
- Marketing: only if you opt in (for example when claiming an offer code). Every marketing email has an unsubscribe link, and unsubscribing never affects a booking. Basis: consent, which you can withdraw at any time.
Cookies and analytics
Essential cookies keep the site working: your booking session, and Stripe's payment page security when you pay by card. These can't be switched off.
We also load one optional tool, the Meta Pixel (Facebook/Instagram), so we can see which of our adverts lead to bookings. It sets cookies and shares page-view and booking-step events with Meta Platforms. It runs by default. To turn it off, press Manage on the cookie banner and choose Decline optional cookies; the pixel stops on that device straight away and stays off. Declining changes nothing about how the site works. To change your mind later, clear this site's cookies and site data in your browser and the banner will ask again.
Who we share it with
We never sell your information. It is shared only with the services that make the hire work:
- Stripe processes card payments.
- Cloudflare hosts the website, database and the private, encrypted storage your documents live in.
- Resend delivers our booking emails.
- Our insurer and broker (Allianz Insurance plc via Alan Boswell Group) where the cover, a referral or a claim requires it.
- The breakdown provider (Call Assist) if you break down and assistance needs your details.
- The DVLA licence check runs on gov.uk using the share code you generate; we view the result you authorise.
How long we keep it
- Licence and proof-of-address images are deleted from storage 30 days after your hire settles. They are kept at all only in case the insurer queries the verification.
- Verification outcomes, the signed agreement and payment records are kept for 6 years, the legal limitation period for contracts.
- If a claim or dispute is open, the documents involved are held until it closes, then the clocks above apply.
- Marketing consent lasts until you unsubscribe.
Your rights
You can ask for a copy of your information, ask us to correct or delete it, restrict or object to how we use it, or ask for it in a portable format. Email [email protected] and we will respond within a month. Deletion requests are honoured except where the law requires us to keep a record (for example payment and agreement records inside the 6-year period).
If you are unhappy with how we handle your information, you can complain to the Information Commissioner's Office at ico.org.uk. We would appreciate the chance to sort it out first.
How it is protected
Documents are uploaded over encrypted, booking-scoped links and stored in a private bucket that is never publicly accessible; every download passes an authorisation check. Access to the operator system is restricted and logged. We do not handle documents by email, full stop.
