Hire terms & conditions

Version 1.1. This is the plain-English summary of our hire agreement. It is a quick guide, not the contract: the binding document is the full hire agreement, which you sign at booking.

Who can drive

  • Drivers aged 25–79 with a full UK, EU, Australian or New Zealand licence held for 2+ years. Only named, verified drivers may drive.
  • Every driver completes a DVLA licence check and provides two proofs of address (dated within 90 days) before collection, through your secure booking page.
  • No more than one fault claim in the last 5 years; some convictions carry a higher excess or need insurer approval, which we confirm before your balance is due.

Money

  • Hire price: bookings made more than 4 weeks before collection pay a booking deposit (25% of the hire, minimum £150) to reserve the dates, with the balance due 3 weeks before collection. If the balance is still unpaid 7 days after it falls due and we cannot reach you, we may release the dates; your booking deposit is then held as a credit towards new dates with us within 12 months. Bookings made within 4 weeks of collection are paid in full at booking.
  • Refundable security deposit of £750 (the insurance excess), paid by bank transfer from the lead driver's own account on collection day and refunded to the same account after a clean return.
  • One all-in price: insurance, UK breakdown cover and unlimited miles included. Visa/Mastercard; no Amex or prepaid cards.

Cancellation

  • Within 48 hours of booking (28+ days out): full refund, no questions.
  • 60+ days before collection: 100% refunded.
  • 28–59 days: everything back except the booking deposit, and the deposit is held as a credit towards new dates with us within 12 months.
  • 14–27 days: 50% refunded. 7–13 days: 25%. Under 7 days or no-show: no refund.
  • Percentages are of the amount you have paid at the time you cancel; a discount code changes what you paid, so it changes the refund the same way.
  • If we manage to rebook your cancelled dates, we refund what the new booking pays, up to everything you have paid, regardless of the table above.
  • One free date change per booking up to 28 days before collection.

The trip

  • Collection from 3pm; return by 10am. Late return without an agreed extension is uninsured driving and incurs fees, so ring us; extensions are usually easy.
  • UK mainland only for now. European trips are coming; taking the van abroad without written agreement is a breach of the policy.
  • Fuel: leaves full, comes back full. Any shortfall is billed at the pump price we pay, with no mark-up.
  • Toilet cassette (where fitted): must be emptied and rinsed at a disposal point before return, or a £50 charge applies.
  • Dogs travel free (a quick sweep-through before return is appreciated). No smoking or vaping: £100 charge.
  • The signed condition reports at collection and return form part of the agreement.
